Position Summary: The Executive Administrative Assistant, is responsible for high-level support including scheduling, communication preparation, and maintaining records for the executive team with various administrative tasks.

Position Requirements

Education: Associate degree in business administration, Office Management, Human Resources, or a related field required. Bachelor's degree preferred.

Licensure: N/A

Certification: N/A

Experience: 3+ years of experience in an administrative support role, preferably supporting senior executives; HR experience is a plus.


Required Knowledge/Skills/Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams, Adobe, DocuSign).
  • Primary point of contact in the business office.
  • Strong communication and organizational skills with exceptional attention to detail.
  • Ability to anticipate needs and take initiative.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment with efficiency and poise.
  • Professional demeanor and ability to interact effectively with all levels of the organization.
  • High level of integrity and ability to maintain confidentiality.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Familiarity with HR software and systems is an advantage.

Essential Job Functions

  • Customer Service: Champion a service mindset, with a commitment to address the needs of our customers through effective communication, support, and proactive problem solving.
  • Manage complex calendars, schedule meetings, prepare agendas, and coordinate internal/external appointment across multiple time zones.
  • Organize travel arrangements including itineraries, accommodations, and expense reporting.
  • Track and follow up on key projects, initiatives and deadlines.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain files and records, ensuring they are up-to-date and accessible.
  • Handle confidential and sensitive information with discretion.
  • Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Conduct research, compile data, and prepare reports as requested by executives.
  • Serve as a liaison between the executive team and internal/external stakeholders.
  • Assist in the planning and execution of special events and projects.
  • Manage office supplies and equipment, ensuring the executive office is well-stocked and functional.
  • Perform other administrative tasks as needed to support the smooth operation of the executive office.
  • All other duties as assigned.

Physical requirements: This position is classified as Sedentary Work in the Dictionary of Occupational Titles, requiring the exertion of up to 10 pounds of force occasionally) up to (33% of the time) and/or a negligible amount of force frequently (33%-66% of the time) to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
