Position Summary: Health Information Manager is responsible for the day-to-day operations and oversight of the HIM department, including coding, transcription, and medical records functions. This position ensures accuracy, completeness, and compliance with regulatory standards related to patient health information. The HIM Manager leads a team of professionals to maintain high-quality documentation and data integrity, supporting clinical, operational, and financial excellence across the organization.

Position Requirements

Education: Bachelor's degree in health information management or related field required.

Licensure: N/A

Certification: Certification of RHIA required.

Experience:

  • 5+ years' experience working in a health information management department required.
  • 3+ years in a management capacity required.

Essential Job Functions

  • Maintain a manual of approved medical record policies, procedures, abbreviations and forms that govern the content, documentation and formats for the medical records of the hospital's active and discharged clients; coordinate the process for the review and approval of additions/changes to the manual.
  • Supervise and manage HIM staff, including coders, transcriptionists, and medical records personnel.
  • Provide training, coaching, performance evaluations, and professional development opportunities.
  • Establish and monitor department goals, metrics, and workflows to ensure productivity and quality standards are met.
  • Collaborate with clinical and administrative leaders to support documentation improvement and data integrity.
  • Oversee accurate and timely coding of inpatient, outpatient, and ancillary services in accordance with ICD-10-CM, CPT, and HCPCS guidelines.
  • Ensure compliance with all applicable coding and reimbursement regulations (e.g., CMS, HIPAA, OIG).
  • Monitor coding accuracy through regular audits and implement corrective action as needed.
  • Manage transcription processes to ensure timely and accurate documentation of clinical encounters.
  • Evaluate and recommend technologies or process improvements for transcription efficiency and cost-effectiveness.
  • Ensure adherence to privacy and confidentiality policies related to dictation and transcription records.
  • Ensure the complete, accurate, and timely maintenance of patient medical records in compliance with regulatory and accrediting body requirements.
  • Oversee release of information processes in compliance with HIPAA regulations.
  • Serve as a resource on documentation standards and policies, supporting quality patient care and accurate reporting.
  • Stay current with federal, state, and payer regulations affecting HIM practices.
  • Develop, implement, and enforce policies and procedures related to HIM operations.
  • Prepare for and participate in regulatory audits and accreditation reviews (e.g., Joint Commission, CMS).
  • Disseminate information and educate appropriate interdisciplinary teams about policies, procedures and expectations regarding medical records.
  • Provide support for the integrity of the information in the hospital EMR including compiling reports of analyses of data entry errors for performance improvement.
  • Create and facilitate education related to HIM updates and best practices.
  • Serves as a resource for department managers, staff, physicians, and administration to obtain information or clarification on health information management topics.
  • Establishes, implements, and maintains a formalized review process for HIM compliance. Conducts regular audits and coordinates ongoing monitoring of documentation adequacy.
  • Provides all reporting for internal and external stakeholders in meaningful format. Serve as the subject matter expert on modeling and analyzing patient data.
  • Identifies variations and/or trends in data capture and management and provides pertinent recommendations to leadership.
  • Other duties as assigned.

Physical requirements: This position is classified as Sedentary Work in the Dictionary of Occupational Titles, requiring the exertion of up to 10 pounds of force occasionally) up to (33% of the time) and/or a negligible amount of force frequently (33%-66% of the time) to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
